PLEASE READ the instructions below before completing the application process. As soon as your payment has been taken, your Trade Stand Pass will be available to download. You MUST download and save this. You will also receive a confirmation email containing a ticket with a scannable barcode.

TRADE STAND APPLICATION INSTRUCTIONS

STEP 1 – select any additional staff members and add-ons required, then click NEXT

STEP 2 – fill in all relevant information, confirm that you have read our terms and conditions, then click NEXT

STEP 3 – complete the risk assessment form, then click ADD TO BASKET

STEP 4 – click BASKET to view your basket or navigate straight to CHECKOUT

STEP 5 – Review your basket and click PROCEED TO CHECKOUT. Then enter your payment details and click PLACE ORDER

STEP 6 – Once your payment has been processed, click DOWNLOAD to download your Trade Stand Pass. This must be printed and displayed in your vehicle.

You will also receive a confirmation email containing a scannable ticket. This must also be printed and displayed.

This trade stand admits show entry for 6 people only. If you will be bringing additional staff members, please select the number of extra attendees here. You will not be issued with physical passes, but our gate staff will have a record of this number, so please do not bring extra attendees as they may be refused entry. This option must only be used for staff members who will be working on your stand. This must NOT be used to bring friends or family members for general show admission.

I agree to be bound by the conditions set out in this form, the accompanying information documents and the general conditions as set out in the show schedule.

All agri/vehicle pitches are approximately 10m deep, stands in the marquee have ample depth for standing space behind the stall. Charity stalls will only be allocated the size of a small domestic sized gazebo . No Additional space will be allocated Trade stand holders and Exhibitors must read and comply with all show conditions as set out in the show schedule. They are also required to read and adhere to the show Health & safety policy and to complete and return the attached risk assessment with their application form. Intoxicating liquor may not be sold or raffled without prior permission. The Exhibitor shall be responsible for obtaining such licence / temporary events notice as may be needed for the sale or supply of intoxicating liquor or otherwise and for the observance of the same. Copies of all permissions must be lodged with the Trade Stand Secretary prior to the Show. Caerwys Agricultural Show will not be responsible for any loss or damage sustained by ourselves howsoever such loss or damage may be sustained, and we undertake to indemnify the show against any such claim by any 3rd party arising directly or indirectly out of our presence on the showground. In the interests of animal safety, aircraft, drones, kites, balloons etc. are prohibited in the immediate proximity of the show and car parks except where prior permission has been obtained from Caerwys Show committee. The sale of Cap guns, BB guns, laser guns, laser pens and explosive devices is prohibited. Caerwys Agricultural Show requires that where trade stand holders provide food and drink, they should hold a valid current basic food Hygiene Certificate. Please Note: The Committee, its officers or servants shall not be responsible for any accident, damage, loss, however caused, that may occur to any Exhibitor, or his servant, or to any article, animal or property brought into the Showground, or while entering or leaving the said Showground. Each exhibitor shall be solely responsible for any loss, injury or damage that may be done to, or occasioned by, or arising from, any machinery or other article, or any animal or property exhibited by him, and it is a condition of entry that each Exhibitor shall indemnify and hold harmless the Society from and against all actions, suits, expenses and claims on account or any such damage or injury.

Step 3 - Complete Risk Assessment

A. Insurance

Has any portable electrical equipment been portable appliance (PAT) tested by a competent person in the last year? (Evidence may be requested).(Required)

Have you identified ignition / heat sources and ensured that these are kept away from all flammable / combustible materials?(Required)

C. Gas & Gas Appliances (including your caravan if located on the Showground)

Do you have an inspection / gas safety certificate, from someone who is Gas Safe Registered, for the appliances and pipework and are all hose connections made with “crimped” fastenings rather than jubilee clips? (Evidence may be requested).(Required)

D. Fire Detection - preventing fire spreading & firefighting (including your caravan if it is located

If staff sleep in / near the stand / unit, is there a working smoke detector and a clear exit route maintained?(Required)

Will you have sufficient bins for refuse or suitable arrangements to prevent an accumulation of refuse?(Required)

Are the structure, roofing, walls, linings and fittings of your stand / unit flame retardant? (Evidence may be requested).(Required)

Do you have appropriate fire extinguishers / fire blankets available that have been tested within the last year? (Evidence may be requested)(Required)

Are staff within the stand / unit familiar with the basic operating instructions for the fire extinguishers / fire blanket?(Required)

E. Emergency Escape

Will staff be aware of what to do in the event of a fire, how to raise the alarm, evacuate the stand / unit and the exit locations?(Required)

Do you ensure your stand / unit never becomes overcrowded to guarantee the safe escape of occupants in the event of a fire?(Required)

Will adequate exits be provided for the number of occupants within the stand / unit? Are staff & customers able to evacuate easily if the normal exit was blocked due to fire?(Required)

Will the available exits be unobstructed and unlocked always the stand / unit is in use?(Required)

Where necessary, will there be sufficient directional signs indicating the appropriate escape route and do they comply with current regulations?(Required)

Are you aware that you must NOT stock or sell certain items, as listed under banned items in the Trade Stand Regulations (Chinese lanterns, Catapults, crossbows, firecrackers, caps, stink bombs, balloons)(Required)

F. Other Risks

If normal lighting failed, would the occupants be able to make a safe exit? (Consider daylight, streetlights, back up lighting, torches)(Required)

Have you completed a risk assessment covering the set-up, use and take-down of your Trade stand, e.g. the use of banksmen alongside large vehicles, certification for lifting equipment, management of slips, trips and falls etc. (Evidence may be requested)?(Required)

Do you have procedures to ensure that no equipment, e.g. telehandlers or flagpoles, comes into contact with the overhead power lines on some parts of the Showground (the Trade Stand Officer will be able to advise if your stand is close to overhead power lines)?(Required)
